# Schedule and Record Tabletops on Microsoft Teams

> Schedule and record a tabletop exercise on Microsoft Teams so Ally Security can process the recording into a transcript and generate an after-action report.

    This method allows you to invite Asa (our bot) to your meeting using a Microsoft Teams meeting link. This requires that the meeting has already started and there is at least one participant in the meeting who can admit Asa from the Teams lobby.

      <Step title="Get meeting link">
        Join your Microsoft Teams meeting and copy the meeting link from the address bar, or click "Meeting info" and copy the join link.

      <Step title="Invite Asa">
        Navigate to your dashboard and paste the Microsoft Teams meeting link to invite Asa to join the meeting.
      </Step>

      <Step title="Allow Asa to join">
        When Asa requests to join, admit the bot from the Microsoft Teams lobby. Any meeting organizer or presenter can approve Asa's entry by clicking "Admit" in the lobby notification.

  <Tab title="Scheduling for Future">
    This method allows you to schedule Asa (our bot) to automatically join your future Microsoft Teams meetings by adding Asa as a meeting participant.

    Important note: Do not use the schedule for future (i.e. inviting Asa via calendar invite) **unless you are scheduling >30 minutes in advance.** For short notice invites, use "Meeting in Progress" tab.

        From your dashboard, copy your unique Asa email address that will be used to invite the bot to meetings.

      <Step title="Add Asa to your meeting invite">
        When creating your Microsoft Teams meeting or Outlook calendar event, add your Asa email address as a required attendee.
      </Step>

      <Step title="Ensure Asa has accepted your invite">
        Check that Asa has accepted the meeting invitation. You should see the acceptance status in your Outlook calendar or Teams meeting details.
      </Step>

      <Step title="Allow Asa to join">
        When the meeting starts, admit Asa from the Microsoft Teams lobby when prompted. The bot will appear with your designated Asa email address in the participants list.

### Limitations

The following Microsoft Teams features are currently not supported:

#### Screen Share Capture Limitations

The following screen sharing options have limited or no support:

* **PowerPoint Live**: Not supported
* **Whiteboard**: Not supported
* **Excel Live**: Not supported

These screen sharing options may not be properly captured in recordings.

### Recording Behavior

Recording permissions and behavior vary depending on your Microsoft Teams setup and meeting configuration.

### Frequently Asked Questions

  <Accordion title="Why can't Asa join registration-required meetings?">
    Meetings and webinars that require registration are currently not supported. This includes Teams webinars and meetings where participants must register in advance.

    For these types of meetings, you'll need to use alternative recording methods or change the meeting settings to remove the registration requirement.

  <Accordion title="Can Asa capture breakout rooms?">
    No, Microsoft Teams breakout rooms are not currently supported. The recording will only capture the main meeting room and Asa will not follow participants into breakout sessions.

  <Accordion title="Why isn't screen sharing content fully captured?">
    Some Microsoft Teams screen sharing features have limitations:

    * **PowerPoint Live**: Presentations shared through PowerPoint Live may not be properly captured
    * **Whiteboard**: Collaborative whiteboard sessions are not supported
    * **Excel Live**: Live Excel collaborations are not captured

    Regular desktop/application screen sharing should work normally.

  <Accordion title="What's the difference between Personal and Business Microsoft Teams?">
    Asa (our bot) works with both Personal and Business Microsoft Teams accounts, but there may be differences in:

    * Meeting admission requirements
    * Available features and permissions
    * Recording capabilities

    Business accounts typically have more administrative controls that may affect how recordings work.

  <Accordion title="Does Asa need to be admitted to Teams meetings?">
    This depends on your Teams meeting settings. Asa (our bot) may need to be admitted from the lobby if:

    * The meeting has lobby settings enabled
    * The host has restricted who can bypass the lobby
    * Your organization has specific security policies

    Asa will wait in the lobby until admitted by a meeting participant or organizer.
